Send reports automatically by email

A saved report can be sent daily, weekly or monthly. Its delivery schedule belongs to the report; it is not a general ticket time rule. An active report owner, a running Qisutu daemon, an active SMTP account and an active system email address are required.

Prepare the report and reporting period

Under Reports, open an editable report you own. Check its data source, filters, metrics and detail columns using the preview. A shared read-only report may need to be copied as your own report first.

In Automatic email delivery, enable Enable automatic delivery and configure:

  • Frequency: daily, weekly or monthly. Weekly delivery also requires a weekday; monthly delivery uses a day from 1 to 28.

  • Send time: the delivery time. The scheduler uses local server time; check the server’s time zone when recipients work in other time zones.

  • Report period: fixed filters, previous day, previous week, previous month or a number of completed days.

  • Date field for the period: the source’s date field to which the dynamic period applies. Choose the field matching the report, such as ticket creation date.

Previous week means the completed Monday-to-Sunday week. Last completed days ends yesterday and accepts 1 to 365 days; today is excluded. With Fixed filters from the report, the saved report filters determine the period. Other filters still apply with dynamic periods. Remove conflicting fixed date filters to avoid an unexpectedly empty result.

Choose recipients and file formats

Under Agent recipients, select one or more active agents with email addresses. Enter additional addresses in Additional email addresses, separated by line breaks, commas or semicolons.

Select at least one format under Attachments: PDF, analysis CSV or detail CSV. Multiple formats can be enabled together. Analysis CSV contains the aggregated analysis; detail CSV contains the selected individual rows and columns. Detail CSV exports are limited to 50,000 rows.

The report runs with its owner’s permissions. The generated attachments are sent to the configured recipients; a separate report filtered by each recipient’s own permissions is not automatically generated. Select recipients, especially additional email addresses, according to the information in the report.

Save and check delivery

  1. Review the preview, period, recipients and attachments.

  2. Save the report together with its delivery schedule.

  3. Check Next delivery, Last delivery and Last status.

  4. After the scheduled time, check the receiving mailbox and, if necessary, the communication log.

The daemon checks due reports regularly, approximately every 30 seconds in this version. Delivery need not start in the first second of the configured minute. A delivery log prevents reprocessing of the same scheduled run. This does not guarantee subsequent delivery by the external mail server.

Example: weekly report

Use a ticket report grouped by queue. Select weekly delivery on Monday at 08:00, Previous week, the appropriate creation-date field, a test recipient, PDF and analysis CSV. Check the preview first; after the scheduled run, the period and attachments must correspond to the completed previous week.

Errors and disabling delivery

An active schedule needs at least one recipient and one attachment format. An invalid additional address or delivery time prevents saving. An inactive report owner or missing SMTP/system email configuration can prevent delivery. Check the last status and displayed error rather than repeatedly saving an unchanged schedule.

To stop further automatic deliveries, clear Enable automatic delivery and save. The report remains available for previews and manual exports.
